01 Who we are
Kagzi is a private assisted-services platform operated by Kagzi Services("Kagzi", "we", "us"). We help citizens apply for government documents, exam and admission forms, and related online services from home, with the help of a verified local agent ("Kagzi Mitra"). This policy applies to our website, our mobile apps, and related services (together, the "Service").
We are a private platform. Kagzi is not a government department and is not affiliated with, sponsored by, or endorsed by any government body.
02 Information we collect
Information you give us
- Account & contact details — Your name, mobile number, and (if provided) email and address.
- Application details & documents — The information and documents required for the service you request, such as identity proof, address proof, photographs, and form or exam details. You share these so your Mitra can prepare and submit your application.
- Payment information — Payments are processed by our authorised payment partner. We receive limited transaction details (such as status and reference), not your full card or bank credentials.
- Communications — Messages and details you share with us or your Mitra for support.
Information we collect automatically
- Device & usage data — App/website version, device type, and how you use the Service.
- Approximate location — Used to connect you with a verified Mitra near you (only where you allow it).
- Cookies — On our website, to keep you signed in and improve the experience.
03 How we use your information
- To create your application and connect you with a verified local Kagzi Mitra.
- To allow your Mitra to verify your documents and submit your application on the relevant government portal.
- To process payments and, where applicable, refunds.
- To keep you updated on your application and provide customer support.
- To improve and secure the Service and prevent fraud or misuse.
- To meet legal, regulatory, and record-keeping requirements.
04 How we share your information
We share your information only as needed to provide the Service:
- Your Kagzi Mitra — The verified Kagzi Mitra assigned to you, so they can verify and submit your application.
- Government portals and authorities — To the extent required to submit your application.
- Our payment partner — Our verified payment partner process your payments and refunds securely.
- Service providers — Hosting, SMS/notifications, and analytics partners who act on our behalf under confidentiality obligations.
- Legal & safety — Where required by law, or to protect the rights and safety of users and the public.
We do not sell your personal information to anyone, and we do not share it for unrelated advertising.
05 How we handle your documents
The documents you upload are used only to prepare and submit your specific application. Access is limited to your assigned Mitra and authorised Kagzi staff. We do not use your documents for any purpose beyond the service you requested.
06 How long we keep your information
We keep your information for as long as needed to provide the Service and to meet legal, accounting, and record-keeping requirements. After that, we delete or anonymise it. You can ask us to delete your data earlier, subject to any records we are legally required to retain.
07 How we protect your information
We use reasonable technical and organisational measures to protect your information, including restricted access and secure handling. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
08 Your rights and choices
- Access, correct, or update your information.
- Request deletion of your information (subject to legal retention rules).
- Withdraw consent where processing is based on consent.
- Opt out of promotional messages at any time.
To exercise any of these, contact us using the details in Section 12.
09 Children
The Service is intended for adults aged 18 and over. We do not knowingly collect information directly from children. Where an application relates to a minor (for example, a document for a child), it must be made by the child's parent or legal guardian, who is responsible for providing the necessary information and consent.
10 Third-party links
The Service may link to government portals or other third-party websites. Their privacy practices are governed by their own policies, which we do not control.
11 Changes to this policy
We may update this policy from time to time. When we make material changes, we will update the "Last updated" date above and, where appropriate, notify you through the Service.
